Privacy in AiAx Business

Information processed

Sign-in involves your name, email address, user identifier and workspace access information. Authentication and session information keep you signed in and control access.

When you use the app, the service processes messages, agent responses and files you submit, including photos, video and audio. Conversation history and related information may be stored in the workspace. Only submit information you are authorized to share with that workspace and the selected services.

The microphone is used when you start recording or a voice feature and grant microphone access. Audio may be sent to the speech and AI services used by the workspace. Transcripts and responses may become part of the conversation history. Revoking microphone permission does not delete recordings or transcripts already submitted.

When Microsoft integration is enabled and your account is connected, the service processes email, calendar information, Teams messages, recipients and meeting participants needed for the features you use. Access depends on your Microsoft account permissions and the organization's configuration. The app shows a message or meeting invitation for review before you confirm sending.

Using an agent's computer may involve processing screen content, tasks and actions through workspace services. Screen content can include personal information. Only access systems and information you have permission to use.

The service records usage events, including sign-in, approvals, agent computer access and voice features. These events may include a user identifier or email address, timestamp, action and duration. Connection and error information supports operations, troubleshooting and access protection.

Why information is used

Information supports authentication, access control, agent conversations, file processing, voice, enabled integrations, operations, security and support. Tasks you give an agent may require relevant content to be sent to an AI model or another service that performs the task.

Sharing with AI services

The agents in AiAx Business use AI services from other companies. The app sends nothing to them until you say yes.

Information sent to the AI services is used only to carry out what you ask for. These providers process it under agreements that provide the same or equal protection of user data as this privacy policy describes.

The app asks before anything is sent and names the recipients. Nothing is sent unless you say yes. You can withdraw or change your choice at any time in the app under Settings, in the “Sharing with AI services” row. Without a yes, you can still read conversations and documents, but you cannot send anything to the agents.

Workspaces and recipients

AiAx Business connects to the workspace you select. A conversation with a shared agent is not necessarily private between you and that agent. Depending on configuration, other people with access to the same agent or workspace may be able to access conversations and content. Check with the administrator before putting personal or confidential information in a shared conversation.

The organization administering the workspace determines available users, agents, integrations and data sources. Contact that organization about its use of business records. AiAx AS can answer app questions and help route requests to the responsible party.

Hosting, identity, AI, speech and enabled integration providers may process information required by those features. Microsoft processes information when Microsoft 365 is used. The AI services the app shares content with are listed under Sharing with AI services. Processing locations and other providers depend on workspace configuration. Ask the administrator or AiAx AS which providers apply to your workspace before submitting content that requires particular processing conditions.

Storage and deletion

The app stores your selected workspace and authentication information on the device. Signing out clears the app's active sign-in and workspace state. It does not delete conversations, files or other information stored on servers or in connected systems.

Workspace content is stored and deleted through the workspace and any connected services. There is no single verified automatic deletion period applying to all such information. Contact your organization's administrator or hello@aiaxmail.com to clarify what your setup stores, the applicable retention periods and how to request deletion. A request may need to be handled by multiple responsible parties when information also exists in a connected system.

Your choices and requests

You can select a workspace, sign out and change microphone, camera and photo permissions in iPhone Settings. Contact your administrator to remove a connection or account access. Changing permissions does not automatically remove information already submitted.

Contact hello@aiaxmail.com about access, correction, deletion, restriction or other personal information questions. Identify the account and workspace concerned. Do not send passwords or authentication codes. We may request information necessary to verify your identity and route the request. You may also contact your organization or your data protection authority about your privacy rights.
